Privacy policy for the g.on field app

General information

g.on field is an app for organizations that are customers of g.on experience GmbH. Employees and contractors of these organizations use the app to capture and edit geodata in the field. The app can only be used with a g.on field service that is either set up by your organization or hosted by g.on experience for your organization.

This privacy policy applies to the g.on field app. Our general privacy policy at www.gon.de/en/privacy-policy applies to our website. The cookies, analytics tools, social media plugins and newsletter described there are not used in the app.

Who is responsible for data processing in the app?

The organization that gave you access to g.on field, usually your employer or client, is responsible for the data you capture with the app. It decides which data is captured, how long it is stored and who can access it. The legal basis for the processing is also determined by your organization.

If we operate the g.on field service on behalf of your organization, we process the data as a processor under Art. 28 GDPR. In doing so, we act solely on your organization's instructions and on the basis of a data processing agreement. Services operated by us run in data centers in Germany.

The only data we process for our own purposes through the app are inquiries you send us by email (see "Inquiries to our sales team"). The controller for this is g.on experience GmbH, Willy-Brandt-Weg 13, 48155 Münster, Germany, phone +49 251 13650-0, email info@gon.de.

Downloading the app

You get the app from Apple's App Store or from Google Play. When you download it, the data required for this is transferred to the respective provider, such as your email address, your customer number with the provider, the time of the download and your device ID. We have no influence on this processing, the respective store provider is responsible for it. From Apple and Google we only receive aggregated statistics and technical crash reports, provided you have allowed them to be shared in your device settings.

Setup and sign-in

To set up the app, you enter the address of the g.on field service and a service code, or scan a QR code. The app evaluates the QR code only on your device.

You sign in through your organization's identity provider, such as Microsoft Entra ID or g.on IDP. If your organization uses Microsoft Entra ID, Microsoft processes your sign-in data according to the agreements between your organization and Microsoft. The app stores sign-in information such as access tokens in the device's protected key storage (Keychain on iOS, Keystore on Android).

So that you can keep working without a network connection, you set a PIN in the app. The PIN is not stored in plain text, only as a hash value on the device.

Location data

The app uses your device's location to show your position on the map, display its accuracy and assign a location to your captures. The app asks for your permission for this. You can revoke this permission at any time in your device settings.

When you record a route, the app determines your location continuously, even when the app is running in the background or the screen is locked. This requires the location permission "Always". You start and stop the recording yourself. On Android, a notification is shown for as long as the recording is running.

Your location is not continuously transmitted to us or to your organization. Positions and routes are only transferred as part of a capture that you send yourself.

Camera and photos

For photos in forms, the app accesses your camera or your photos once you have given permission. Only photos that you add to a capture yourself are transferred.

Bluetooth

If you use an external GNSS receiver, the app connects to it via Bluetooth and receives its position data. This requires the Bluetooth permission. The app uses Bluetooth for this purpose only.

Captured data and transfer

A capture consists of the form entries, photos, position or route, the time and your user name. The app transfers this data in encrypted form (HTTPS) exclusively to your organization's g.on field service. Without a network connection, captures remain on the device until you send them.

Storage on the device

The app stores captures, settings and your organization's configuration in the app's protected storage area on your device. Captures you have sent remain visible in the app's history until you delete them there. You can remove locally created users in the app. When you uninstall the app, the operating system removes the stored captures and settings.

To help with troubleshooting, the app writes a technical log on the device. It is not transferred automatically. You can share it yourself using your device's share function, for example with your organization's support team. The shared log also contains the app version, operating system and device model, and on iOS also the device name.

Maps and detail sheets

Your organization determines which maps and layers the app shows. The app loads the maps directly from the map services set up for this, for example your organization's server, services of the surveying authorities or OpenStreetMap. For technical reasons, the respective provider receives your IP address and the map section displayed. If your organization uses OpenStreetMap, this data goes to the OpenStreetMap Foundation, St John's Innovation Centre, Cowley Road, Cambridge, CB4 0WS, United Kingdom.

The app loads detail sheets for objects from your organization's portal. The portal may store technically necessary cookies in the app.

No advertising, no analytics

The app contains no advertising and no third-party analytics, tracking or crash reporting services. We do not analyze how you use the app.

Inquiries to our sales team

You can contact us by email from within the app, for example to request a demo. The app opens your email program for this. We process your information to handle your inquiry. The legal basis is Art. 6 (1)(b) GDPR if your inquiry relates to a contract or concerns pre-contractual measures. In all other cases, the processing is based on our legitimate interest in responding to inquiries (Art. 6 (1)(f) GDPR). We delete your data as soon as the purpose no longer applies. Statutory retention periods remain unaffected.

Your rights

Your rights under the GDPR, such as access, rectification or erasure, regarding the data captured in the app apply to your organization. Please therefore contact your organization first. If a request to us concerns data that we process on behalf of your organization, we will forward it to your organization. You also have the right to lodge a complaint with a data protection supervisory authority. For questions about data protection at g.on, you can reach our data protection officer at datenschutz@gon.de.
